Guide to Chartering and Accreditation PDF Print E-mail

Chartering deadlines are important with regards to accreditation for CCR’s annual convention. Voting delegates are determined by the size of a club’s accredited membership. Therefore, it is important to meet these deadlines and follow the instructions very carefully.

E-Chartering - Deadline: March 3, 2006

The “E” in E-Chartering stands for early, electronic, and easy. E-chartering is easier because your club’s membership forms need only three pieces of information: a name, e-mail address, and phone number. It’s electronic because you submit both your membership list and officer list in MS Excel format, and you have the option of submitting your letter of recognition in JPEG or PDF. And it’s early because the deadline is 30 days before the annual CCR convention, which allows us to verify that your membership is real and accurate by conducting a random sample survey.

Because E-chartering is so much easier, it is also prone to fraud and manipulation. The random sample survey is simply our way of verifying that your membership is real. For clubs of 100+ members, 5% of the membership will be called and their status with your club will be verified. The percent who respond in the affirmative will be the percent of your club’s size that will count toward voting delegates. For example, if a 75% of a club with 200 people said that they belonged to your CR club when asked in a phone survey, then 150 of your club’s members would count towards voting strength.

Note: Clubs who use E-Chartering can still add new members after March 3, 2004 in accordance with the rules and regulations of Regular Chartering.


Membership Audit - Date TBA


Clubs who charter with the electronic system will undergo an audit by the Accreditation Committee. The date, time, and location for 2006 accreditation have yet to be determined. Only members appointed by the Chair of the Accreditation Committee and approved by the Board of Directors can conduct the audit, but anyone is permitted to observe.

 


Regular Chartering - Deadline: April 2, 2006

Regular Chartering abides by all of the traditional CCR chartering regulations. Clubs must present a complete list of their officers, a letter of recognition from their school, and 10 valid membership forms. A valid membership form must have the following information: name of the member, phone number, and e-mail address. It must also be dated after the close of the previous CCR convention, and it must have the signature of the member.
